Privacy Policy: Chat Tracker - AI Marketing Suite

Chat Tracker ("the Extension") helps coaches and their teams insert message templates into social messaging sites and keep that outreach, and the conversations that follow, in their CoachTech (AI Marketing Genie) workspace and connected CRM.

1. Data we process

• Account data: your name, email address and a session token when you sign in to CoachTech, either directly or with Google. With Google sign-in we request only the openid, email and profile scopes. Google returns an ID token, which is exchanged for a CoachTech session.
• Message templates: titles and text from your Chat Map boards, loaded from your CoachTech workspace.
• Outreach logs (tracking): when tracking is on (the default), for each message you send with the Extension we record the contact's name and profile identifier/username as shown on the page, the platform, the page URL of that chat or profile, and the template used. These go to your workspace so your CRM contact, tags, tasks and Chat Progress stage can be updated.
• Conversation content (Facebook): after a tracked send on Facebook, the Extension reads the visible conversation thread (participants, message text and timestamps) and saves it to your workspace. If you start Inbox sync, the Extension opens your Facebook Messages conversations one at a time, reads their history and saves it to your workspace. Inbox sync is read-only. It never sends, reacts to, archives or deletes messages.
• AI assistant control (optional, off by default): if you turn this on, the Extension regularly asks your CoachTech account for Facebook messages that an AI assistant you connected (for example through MCP) has queued. It opens the recipient's chat, sends that message from your browser and reports the result (sent or failed) back to your workspace.
• Local preferences: stored in Chrome storage on your device, for example your selected workspace, board, tags, pipeline, tracking toggle and inbox-sync progress.

2. How we use data

We use this data only to provide Chat Tracker's features to you and your workspace: template insertion, DNC/tag checks, CRM contact, tag, task and pipeline updates, conversation history in your workspace, and sends you have authorised. We do not sell personal data, use it for advertising, or use it to determine creditworthiness.

3. Where data is stored

Preferences stay in your browser (chrome.storage). Account data, boards, tracking logs and synced conversations are stored on CoachTech production systems (served from aimarketinggeni.us and the CoachTech API) under your workspace. CRM updates are written to the CRM you connected to your workspace.

4. Third parties

The Extension runs on supported third-party messaging sites (Facebook/Messenger, Instagram, LinkedIn, X, Telegram Web, Bluesky, TikTok and Reddit) only to provide the features above. Data is shared with your connected CRM provider as you direct, and with Google only to sign you in. The Extension contains no advertising or analytics trackers and loads no remote code.

5. Permissions

The browser permissions are storage, tabs, scripting, webNavigation, alarms and identity, plus host access to the sites listed on the Chrome Web Store page. They are used only for the purposes above. alarms wakes the background worker for the optional AI assistant control. identity is used for Google sign-in.

6. Retention & deletion

Removing the Extension clears its local storage. Workspace data (tracking logs and synced conversations) is kept while your workspace is active. You can ask for it to be exported or deleted through CoachTech support. Records in your CRM follow your CRM's retention settings.

7. Your choices

You can turn off tracking in the Extension, choose not to run Inbox sync, leave AI assistant control off, or sign out at any time.

8. Changes

We may update this policy. If we do, the effective date above will change.
